Overview

To access email templates, navigate to Templates -> Email Templates. This is where you will be able to create new email templates, edit and/or delete existing templates.

There are two "template types" - SendGrid Template and Internal Template (Visual Editor)

SendGrid Template (No longer supported, for legacy customers)

  • SendGrid is an external email designer and sending tool. Previously, users had to connect a business email domain to be able to send emails

  • If you are legacy customer who still uses SendGrid, please direct any questions to the help center.

Internal Template (Visual Editor)

  • After clicking add template, you wil be asked to fill out basic information about your Template

  • Document Template - This is used if you want to add a button to sign a consent form in the email. You are allowed to link the email to one consent form. When you add {{signatureLink}} anywhere in the email, the link to sign that consent form wil appear. It is recommended you use a button using {{signatureLink}} for the embedded URL.

  • Details - Emails use dynamic variables, like client and patient name, and checking off which details you plan on using helps prevent against a client getting an email with "blank" fields. For example, if you check off "Patient Required", you will not be able to send that template without having a patient in the system. This will allow you to use the dynamic field {{patientName}} with the guarantee that it will populate. See a full list of dynamic fields below.

Dynamic Fields

Once you enter the editor in the email template, you will be able to see what fields you have available, based on the "details" you selected in the prior step. See below example:

In this example, appointment required and vaccination required were not selected, so you do not have access to those dynamic fields in the email.

Editor

  • At this point, you can now leverage the email edtior to design your email, set a subject line, and view a preview of your email.
